Do you build custom software or use existing tools?
Both. We make an honest build-versus-buy call for every problem: custom-built where it matters, integrated with proven tools where that's the smarter option. The goal is the most effective, cost-efficient outcome — not the most billable one.
How long does a typical project take?
Smaller workflow automations ship in a few weeks; larger software builds can take several months. Either way you get clear timelines upfront and regular demos throughout, so you're watching working software take shape — not waiting on a reveal.
Can you improve our existing systems and workflows?
Yes — most of our work enhances what you already have with better design, automation and integration. Full rebuilds only happen when they're genuinely justified.
What does the free strategy call involve?
Thirty minutes on your operations. We'll discuss your biggest operational bottleneck, identify the most promising areas for improvement and agree the most sensible next step — which is sometimes "don't build anything yet". No pitch deck, no pressure.
Plans & pricing
Do I need a plan to work with Estara?
No. One-off projects are scoped and priced individually with no subscription required. Plans exist for businesses that want continuous improvement — reserved delivery capacity, ongoing strategy and priority support.
Why is some pricing "from" rather than fixed?
Because delivery plans are tailored to the systems, integrations and pace each business needs. AI Advisory is a fixed £349/month; Growth and Fractional pricing is confirmed after a scoping conversation, before anything is signed.
What does the onboarding fee cover?
Everything needed to start delivering well: process mapping, access setup, workflow prioritisation, technical review, roadmap creation and delivery planning — plus your initial AI & operations assessment. It's £250 on AI Growth and £500 on Fractional AI Department, charged once.
What counts as delivery capacity?
Everything involved in shipping working systems: discovery, meetings, solution design, development, configuration, testing, documentation, deployment, revisions, troubleshooting and project communication.
What does maintenance cover?
Routine upkeep and minor fixes for eligible systems built by Estara. Major feature changes, new functionality and work caused by third-party changes are scoped within your capacity or quoted separately.
What happens if my work needs more than my monthly capacity?
Nothing stops — we'll flag it early and agree the best route: reprioritise within your capacity, add capacity at your preferred client rate, or scope the larger piece as a separate project with your membership factored into the price.
Does unused capacity roll over?
No — capacity reserves your place in the delivery schedule each month, which is what keeps response and delivery times consistent. In practice, monthly reviews are used to make sure your capacity always goes to the highest-impact work.
Why is there a three-month initial engagement on paid delivery plans?
Meaningful operational improvements take more than one cycle — discovery, build, adoption and refinement. Three months is the shortest window in which results can be delivered and measured properly. After that, plans continue month to month.
Are there any costs beyond the monthly fee?
Third-party costs are billed separately and only with your approval — for example AI model usage (OpenAI/Anthropic), automation platforms, hosting, databases and SMS/email delivery. We'll always estimate these before anything is switched on.
Can I switch plans later?
Yes. Plans can be upgraded at any time, and moving between plans at a monthly review is straightforward — the point is to match the engagement to what your business currently needs.
