The problem
Like most established businesses, each department had built up its own ways of working — manual processes, spreadsheets and repeated data entry that quietly absorbed hours every week. Tender documentation arrived by email and was handled entirely by hand; driver schedules were planned manually around pickups, drop-offs, swaps and skips; quotes were typed up job by job; and long documents had to be read in full before anyone could act on them.
What Estara is doing
An ongoing engagement working through the business area by area: reviewing how each team operates, then designing and building AI and software where it genuinely earns its keep. Four tools are already live — automated tender processing, an AI route planner for drivers, a voice-to-quote generator and AI-driven document summaries — with a rolling roadmap of further improvements.
Some implementation details are limited by a non-disclosure agreement.
The outcome so far
- Approximately 30–35 tender packs processed automatically each week from the tenders inbox
- Driver schedules created automatically — around 10 hours of weekly admin removed
- Quotes generated by voice under Lawmens' own template and branding — saving roughly 10–15 hours a week
- AI-driven document summaries saving around a further 10 hours a week
- Outlook, Monday.com and Dropbox connected — no more manual handoffs between them
- A rolling roadmap, so improvements compound rather than stop at one project
